Close CRM Deduplication Guide
Dedupely connects to Close CRM to find and merge duplicate Leads, Contacts and Opportunities, including the ones Close CRM cannot merge on its own.
Supported Objects
Dedupely supports deduplication for the following Close CRM objects:
- Leads
- Contacts
- Opportunities
Cross-object deduplication is not supported. You cannot merge records across different object types (e.g., you cannot merge a Contact into a Lead).
Permissions Required
Connecting Close CRM uses OAuth, so there is no API key to generate or paste. You authorize Dedupely from your Close CRM account, and the connection carries your own permissions: you need the rights to edit and delete the objects you intend to deduplicate.
Common Close CRM Duplicate Issues
Close CRM is built around the Lead as the unit of work, with Contacts and Opportunities hanging off it. That shape is what makes duplicates awkward:
- The same company arrives twice as two Leads. Inbound forms, list imports and API integrations create a second Lead rather than attaching to the existing one, so the call history for one account is split across two records.
- The same person exists twice under one Lead. A Contact added by a rep and a Contact created by an integration sit side by side, and Close CRM offers no way to combine them.
- Duplicate people under duplicate Leads. These are entangled: resolving the Contacts on their own leaves the Leads split, and the Lead merge is usually the correct fix.
- Opportunities double up. A deal logged twice inflates the pipeline, and the forecast is wrong until one of them goes.
- Native detection is limited. Close CRM matches on exact values, so a nickname, a typo or a different email domain is enough for a duplicate to get through.
Close CRM Native Merge Functionality
Dedupely uses Close CRM's own API, so what a merge does to a record is Close CRM's behavior, not ours. The three objects are not equal here:
Leads merge natively
Close CRM has a real lead merge. Dedupely picks the Primary, the duplicate is merged into it, and the Primary survives with the other Lead's history attached. Because Close CRM records the merge as a real event, it is visible in the Lead's own activity as well as in Merge History.
Contacts have no merge in Close CRM at all
The Close CRM API offers no contact merge, so a native one is not available to any tool. Dedupely resolves duplicate Contacts by consolidating the field values onto the Contact you keep, moving that Contact's Opportunities, Notes, Calls and Emails across to it, and then removing the duplicate.
Tasks and Meetings cannot be reassigned through the Close CRM API. They stay attached to the record being removed, so Dedupely reports them rather than moving them.
Opportunities cannot carry their history across
Close CRM activities reference a Lead and a Contact, never an Opportunity, so there is nothing to reassign when two Opportunities are combined. Decide which one is right before merging, and use Merge Rules to control which values win.
Recommended Close CRM Deduplication Process
- Start with Leads, not Contacts: where duplicate people sit under duplicate Leads, the Lead merge brings their Contacts together in one step. Cleaning the Contacts first leaves you with two Leads and more work.
- Trace where the duplicates come from: inbound forms, list imports and the integrations writing into Close CRM through the API. Each source produces a different shape of duplicate, and each one wants its own match logic.
- Build one Duplicate Search per scenario: a strict search for high-confidence matches, such as Exact Email, and a looser one for the cases that need a person to look, such as Similar Name at the same company.
- Check a merge before you automate it: run the strict search, merge a small batch, and confirm in Merge History that the values you expected won.
- Set Merge Rules once the shape is clear: decide field by field which value survives, so the same decision does not get made by hand on every match.
- Automate the strict searches: turn on Auto Merge for the searches you trust, and use Auto Match on the looser ones so you are notified to review rather than merged automatically.
FAQs about Close CRM deduplication
- Do I need a Close CRM admin account? You need permission to edit and delete the objects you want to deduplicate. The OAuth connection carries your own permissions, so if you cannot delete a Contact in Close CRM, Dedupely cannot either.
- How is Dedupely's matching different? Dedupely matches on any field, with Exact, Similar, Fuzzy, Similar Words or Domain Root, which is what catches nicknames, typos and reversed names that a name, phone or email comparison does not.
- Why can Dedupely merge Contacts when Close CRM cannot? Because it does the work the missing endpoint would have done: it consolidates the field values onto the record you keep, moves the Opportunities, Notes, Calls and Emails across, and then removes the duplicate.
- What happens to Tasks and Meetings on a Contact I merge away? The Close CRM API does not allow either to be reassigned, so they cannot follow the record. Dedupely lists them for you instead of moving them.
- Can I match Leads on their company domain? Yes. The Domain Root match option compares website URLs by their root, ignoring www, .com and country variants. Ignored terms in your Match Settings skip suffixes like "Inc." or "Ltd." when comparing names.
- Close CRM support offered to merge my duplicates. How is this different? Close CRM support runs a free deduplication for you, once. You export a CSV with one of their support tools, send it back, and they apply a single rule to every duplicate in it: keep the oldest, keep the most recently updated, or keep the one with the highest-priority status. It is a good way to clear a backlog. It is not a way to keep the database clean, and it is not field-level: you cannot say that this email wins but that phone number does not.
- Can Close CRM find duplicates on its own? Not in the product. Close CRM has no duplicate detection in its interface. Its support tools scan for duplicate leads across the account, and for duplicate contacts within a single lead, matching on name, phone number or email address, and they export a CSV rather than merging anything.
- Is anything merged automatically when I connect Close CRM? No. Connecting and syncing never merges, edits or deletes a record. A merge happens when you click Merge, or when you turn on Auto Merge for a search yourself.
