Dedupely Intelligence: AI Duplicate Matching

Dedupely Intelligence is enabled by default across all accounts, with unlimited merging reserved for Yearly plans.

Dedupely Intelligence uses AI-powered algorithms executed strictly as native, deterministic code within Dedupely:

• Zero External Data Exposure: CRM record data is never sent to, processed by, or trained on third-party AI models or external LLMs. All processing remains entirely within Dedupely's secure infrastructure in compliance with ISO security standards.
• Deterministic Execution: AI is used exclusively in our development environment to design the pattern-recognition logic. Within the application, these rules run as standard deterministic code to ensure predictable, reliable matching results.

How Dedupely Intelligence Works

Rather than relying on manual match criteria, Dedupely Intelligence uses AI-built algorithms to match and recognize complex duplicate patterns across your database. It automatically groups the matched records into a dedicated Duplicate Search for your review.

Automated Background Scans

Dedupely Intelligence scans your database automatically: every hour on Yearly plans, and once a week on Monthly plans and the free trial. A newly connected object gets its first scan ahead of the queue. There is no manual "Run Scan" button. The exact date and time of the last check is displayed at the top of the Duplicate Search.

Supported CRM Objects

Currently runs on Contacts, Companies, and Leads - more objects to come.

Merge Logic

Merges user your account's global Primary Record and Field-Level Merge Rules, unless you create dedicated rules specifically for Dedupely Intelligence.

Plan Availability

Dedupely Intelligence is visible across all account tiers and the 7-day free trial, but merging permissions vary:

Yearly plans

• Unlimited page navigation across all matches
• Unlimited merging within Dedupely Intelligence
• Cross-page selection

Monthly plans and free trial

• Access is limited to viewing the first two pages of match results or looking up specific records directly using the search bar
• Matches can be merged using your plan's available free merges
• Once the free merges are used, an upgrade to a Yearly plan is required to continue merging within Dedupely Intelligence

Users can select individual match sets or select items across multiple pages, but "Select All" across the entire database list is disabled to preserve merge safety.

How to Access and Use Dedupely Intelligence

Dedupely Intelligence is pre-configured and requires no initial setup.

1. Go to "Duplicate Searches" on the left vertical menu.
2. Locate "Dedupely Intelligence" pinned at the top of your searches under Contacts, Companies, or Leads.
3. Open the search to view your matches.
4. (Optional) Adjust your "Visible Fields" to display additional record details in your search results for context during review.
5. (Optional) Use the top search bar to look up specific records by name, email, or domain.
6. Select the duplicate sets you want to resolve and click "Merge."

Questions You May Have

• How does Dedupely Intelligence know what to match without settings? The AI-powered matching algorithm evaluates multiple field combinations simultaneously. It starts with a default baseline and uses deterministic matching logic that we continuously improve with AI and test data. Your CRM records are never sent or processed by an AI model.
• What if it matches records that shouldn't be merged? Select the match and click "Reject." This removes them from all future searches. Rejecting false positives is a highly recommended best practice: The more you reject, the better Dedupely Intelligence learns what you are not looking for.
• How do I restore a match I accidentally rejected? You can reverse a rejection at any time. Go to your Duplicate Searches list, scroll to the bottom to find the Rejected Matches tab for that object, locate and select the matches, and click "Remove from Rejected."
• Does Dedupely Intelligence respect my Safety Settings? Yes. It respects your global Safety Settings exactly like a standard duplicate search. If a set of duplicates you expect to see is missing, it is likely listed in the Excluded tab.
• Why use this if I already have highly specific Duplicate Searches? Because Dedupely Intelligence evaluates several combinations at the same time, it can identify complex, overlapping matches that single-rule or standard custom searches miss.
