Billing & Usage

Manage payment methods, invoices, and subscription plans in one view.

View as Markdown

Billing & Usage settings are restricted to admin-level users. Standard team members do not have access to this view.

Watching your record count lets you adjust the plan before merging pauses.

Dedupely never automatically upgrades your subscription or charges your card when your CRM record limit is reached, or a payment fails. Any plan adjustments must be manually reviewed and confirmed by an administrator.

How to access Billing & Usage settings

The Dedupely profile menu open, with Company Settings highlighted.
  1. Click the profile icon in the top-right corner.
  2. Select "Company Settings" from the dropdown menu.
  3. In the left menu, click on "Billing & Usage."

How Dedupely Pricing Works

Subscription plans are tiered and calculated based strictly on the total number of records synced across the specific active CRM objects you choose to enable. Dedupely follows these pricing rules:

  • Billable Record Total: pricing is based on the combined count of active synced records from all connected objects (e.g., Contacts + Companies + Deals).
  • Multiple CRMs: If you connect more than one CRM account, records from all active connections are combined toward your overall plan limit.
  • Unlimited CSV Imports: CSV files and spreadsheets uploaded to Dedupely do not count toward your billable synced record limit. All plans include unlimited spreadsheet imports.

Example Billing Calculation

  • HubSpot: 15,000 Contacts, 18,000 Companies. 33,000 billable records.
  • Salesforce: 20,000 Accounts. 20,000 billable records.
  • CSV Upload: "Event_List.csv" (50,000 Rows). 0 billable records.
  • Total Usage (CRM records only): 53,000 Records.

Managing subscriptions

"Your Plan" displays active subscription details, current billing frequency, and real-time CRM record counts:

Company Settings on Billing & Usage: the Dedupely Basic plan at $80 a month, its next billing date, what it includes, and a CRM records usage bar reading 26,270 of 60,000.
  • CRM Record Tracking: The usage bar shows total CRM records connected to Dedupely against active plan limits.
  • Plan Upgrades: Click "Upgrade Plan" when you go over your record limit. Dedupely shows you the tier your record count falls into; the change only happens once you confirm it.
  • Yearly Billing: Click "Switch to yearly billing" to apply a 20% discount to your subscription.
  • Plan Cancellations: Click "Cancel Plan" to turn off auto-renewal. Full access remains active until the end of the current billing period.

What happens when CRM record limits are exceeded?

  • Duplicate Searches, duplicate matching, scans, merge rules, previews, and auto match remain fully functional.
  • Merging records pauses temporarily, until an admin manually confirms a plan upgrade.
  • The tier Dedupely suggests is based on the total record count across all synced objects.

Invoices, Tax ID, and Payment Methods

The Invoice History table: each invoice by date, amount and status, with an eye icon to open it.

Invoice History: View past billing dates, amounts and payment statuses. Click the eye icon next to any invoice to open a receipt directly in the browser.

The Tax ID row, with an Add button beside it.

Tax ID: Click "Add" under Tax ID to include official tax identification numbers on future invoices.

The Cards on file table, showing card type, last digits, expiry and a default flag, above an Add Card button.

Cards on File: View saved payment methods and expiration dates. Click "Add card" to store new credit cards, or set a primary card as the default payment method.

Phased Cleanup & Scope Management

For complex or multi-object databases, teams often prefer to clean their CRM in stages rather than processing every department at once.

  • You can turn specific CRM objects on or off in CRM Settings to isolate your focus (for example, starting your initial cleanup project strictly on Contacts before moving to Companies).
  • Keeping an object toggled ON maintains background syncs, live data refreshes, and continuous Auto Merge. Toggling an object OFF pauses background monitoring and removes those records from active matching, which reduces your active synced record count.

For continuous duplicate prevention, keep all primary CRM objects enabled so Auto Merge can intercept incoming duplicates in real time.

FAQs about Billing & Usage

  • What happens when a subscription is cancelled? Full access and functionalities are still available until the end of the billing period.
  • Can I view past invoices? Yes. On the right side "Invoice History" panel, click the eye icon beside the invoice you want. A PDF will open directly in your browser.
