Filters
Customize your match results by applying specific inclusion or exclusion rules. You can apply filters to any field in your database to ensure your Duplicate Searches only target the exact records you need to review.
Filters are included in all Dedupely plans, and the 7-day free trial.
How to create a Filter
You can configure filters directly inside your Duplicate Search:
- Click the "Filters" menu, on the top of your Duplicate Search.
- Click "+ Add filter" to begin setting up your conditions.
When creating a filter, you will configure the following components:
- Target Field: Select the CRM field the filter applies to.
- Operator: Choose the specific rule for how the field should be evaluated.
- Target Terms: Enter the specific values you are filtering for. You can add up to 25 terms per filter. If a record matches any of the provided terms, it successfully passes the filter.
- Capitalization: Check the "Ignore differences in capitalization" box if you want the filter to evaluate text without factoring in uppercase or lowercase letters.
“Applies to” Logic
Because Duplicate Searches evaluate groups of matching records, you must specify how the filter applies to the entire set.
- All: Every record within the duplicate set must meet the filter criteria.
- One or more: At least one record in the duplicate set must meet the criteria.
- Only one: Exactly one record in the duplicate set must meet the criteria, while the remaining records in that set explicitly do not.
Available Operators
Choose how the field is evaluated:
- is equal to / is not equal to
- contains / does not contain
- starts with / does not start with
- ends with / does not end with
- sounds like / does not sound like
- is the same length as / is longer than / is shorter than
- is blank / is not blank
- is unique across match
AND/OR logic and filter groups
To build more complex criteria, combine filters or organize them into separate sets with "+ Add filter group".
A second filter or filter group is connected with AND by default, so both conditions must be met.
Click the "AND" badge between the filters to switch it to "OR", where only one condition has to be met. The badge toggles back and forth at any time.
FAQs about Filters
- Do filters delete or modify any records in my CRM? No. Filters only dictate which records are displayed in your Duplicate Search results within Dedupely. Applying or changing a filter does not alter, delete, or merge any data in your connected CRM.
- Can I use custom CRM fields in my Filters? Yes. Any custom field that you have synced from your CRM to Dedupely is fully supported and can be selected as a Target Field when building a Filter.
- What is the difference between Match Options and Filters? Match Options define the core logic for identifying a duplicate pair (e.g., finding identical names or similar email addresses). Filters restrict the overall pool of records being evaluated or displayed based on secondary conditions (e.g., only showing duplicate pairs where the record status is "Active Customer").
- What happens if I use the "Only one" criteria, but multiple records in a duplicate set meet the condition? If your filter requires that "Only one" record meets the criteria, and two or more records in that specific duplicate set pass the filter, the entire duplicate set will be hidden from your search results because it failed the strict "Only one" requirement.
- Is there a limit to how many terms I can add to a single filter? Yes. You can add up to 25 target terms within a single filter block. If a record matches any of those provided terms, it successfully passes that specific filter.
