Duplicate merging
Duplicate merging turns each duplicate match, and all the records in it, into one record in your CRM. Merge one match, a selection or thousands at once, and your Merge Rules decide which record stays as the primary and which value to keep in each field.

How duplicate merging works
-

Open Match Details to see the merged record before anything changes.
-
Merge one or thousands
Merge a single match, a selection, or every match in your search at once.
Three ways to merge
Set Merge Rules for all your Duplicate Searches, or customize them for a single search.
| What it does | Good for | |
|---|---|---|
| Single merge | Merges one match with your Merge Rules | Quick fixes as you go through a search |
| Bulk merge | Merges a selection or every match in a search at once | Legacy data, imports and migrations with thousands of matches |
| Custom Merge | Shows the records side by side so you pick every value yourself | High-stakes records, and testing your Merge Rules |
Merge Rules, in short
- Primary record: keep the oldest, the newest, the last updated, the one with the most data, or set your own conditions.
- Field values: for each field, choose which value wins, for example the newest phone number or a filled-in value over a blank.
Good to know
- One merge is one match, however many records it holds.
- Treat merges as permanent. Most merges can be undone within 30 days, but undoing adds the records back to your CRM and moves the match to Rejected Matches. Preview first and use Merge History to see what changed.
- Merges stay within one object. You can't merge a contact into a lead, for example.
- What a merge changes depends on your CRM. In HubSpot, for example, the merged record gets a new ID and old IDs redirect to it.
- All searches or one. Set Merge Rules once for all your Duplicate Searches, or customize them for a single search.
