Merging duplicates

Depending on how complex your duplicates are, you might want to review every detail, dedupe legacy data in bulk, or keep auto merging in the background to match and merge recurring duplicates.

Merge Options

Single merge

Perfect for quickly merging one duplicate set at a time:

1. Click the checkbox on the left of the duplicate set you want to merge. A menu appears at the bottom of your screen.
2. Click "Merge."

Custom merge

Ideal for edge cases, where a human eye is needed to decide exactly what information should be kept, at a field-level:

1. Click "View Match Details" (three vertical dots on the left side of your duplicate set).
2. In the side-by-side panel that opens, go field by field and click to choose your winning values. You can preview the merge result on the left side of the panel.
3. Click "Merge" directly from within that same panel when you are done.

Bulk merge

The fastest way to dedupe your way out of massive lists or legacy data:

1. Select multiple duplicate sets, or an entire page by clicking their checkboxes.
2. A menu appears at the bottom of your screen. Click "Select all X matches" there to choose every matching result.
3. Once you choose the duplicates you want to move on with, click "Merge."

Auto merge

Automate your deduplication on a schedule, so Dedupely matches and merges recurring duplicates in the background:

1. At the top of your Duplicate Search, click the "Automate" button.
2. Select "Auto Merge" from the dropdown.
3. A settings panel will appear. Choose exactly how often you want the automation to run, and click "Save."
4. Click "Enable."

You will get a confirmation view to double-check your Auto Merge details. Click to confirm, and your auto merging is now live.

Available Frequencies for Auto Merge

When setting up Auto Merge, you can choose from the following schedules based on your CRM:

• As soon as possible: This creates a continuous loop. Dedupely will scan, merge, and then immediately start the process over again.
• Every X minutes
• Every X hours
• Every X days
• Every X weeks
• Every X months
• On specific weekdays
• On specific days of the month
• Time windows: You can also restrict scans to specific hours of the day (e.g., between 5PM and 9PM)

Managing your active Auto Merge:

Once Auto Merge is enabled, you'll see a dashboard view where you can monitor recent merges, total merges, and any records needing attention. From this view you can easily control your automation using the action buttons:

• Auto Merge Settings: Adjust your merge preferences or click "Edit Schedule" to update your timing.
• Pause: Temporarily pause auto merging without losing your schedule configuration.
• Disable: Turn off the Auto Merge completely for that Duplicate Search.

Merge statuses

Each duplicate group shows a status label once merging begins:

• Pending: The merge is queued and waiting to start.
• Merging: The merge is currently in progress.
• Finished: The merge has completed successfully.
• Error: There was a problem merging. Hover over the status to view the error message.

How to abort a merge

You can stop an Auto Merge or a bulk merge that is running:

1. Go to the top right of your Duplicate Search.
2. Click "Cancel all" near the merge counter. Merges already under way finish; the rest are dropped.

Merges that have already completed are unchanged.

FAQs for Merging Duplicates

• Can I undo a merge if I make a mistake? Merges process directly inside your synced CRM. While you can't undo a merge, you can go to your Merge History, download a CSV of the merged records, and re-import them into your CRM to restore original profiles.
• What happens if I merge without setting up Merge Rules or picking fields manually? Dedupely defaults to your CRM’s native merging functionality. It will combine records following the standard master-record logic your CRM uses natively.
• How do my 20 free trial merges work? Every free trial includes 20 test merges. Once you hit 20 merges, you can upgrade to an active plan to keep going.
• Will Auto Merge run continuously if I set it to "As soon as possible"? Yes. The "As soon as possible" frequency creates an ongoing loop: It scans, merges matching sets, and immediately starts scanning again.
