Finding Duplicates
Dedupely gives you full control over what a duplicate is, by configuring your Duplicate Searches to fit the exact reality of your database.

How you will find all your duplicates with Dedupely
- Define what a duplicate is and isn't for your specific use case.
- Match duplicates even if they are misspelled, words are flipped, or you have multiple domain locations for a single company.
- Exclude irrelevant data and reject non-duplicates from appearing in your Duplicate Searches.
- Set up a match threshold to be notified via email when a specific number of duplicate sets are matched.
Find all your duplicates
- Choose the visible fields: Select the key identifiers you want Dedupely to compare, such as Email, First Name, or Phone Number.
- Edit the match options per field: Decide how thorough or lenient the matching should be. Click the arrow under each field name to switch between Exact, Similar, Fuzzy, Similar Words, or Domain Root.
- Add filters (optional): Narrow down your results to only scan relevant segments of your data.
- Run a scan: Process your database to group the matching records.
- Tweak the Duplicate Search: Adjust your match types or swap out fields to zero in on the precise duplicates you want to find.
Click "Scan" after making any edit to your Duplicate Search to update your results.
Maximizing your results: Testing & Tweaking
Finding the perfect match criteria sometimes takes a little experimentation. You can safely test out different settings without impacting your main workflow or merging any duplicate:
- Clone and test: Clone an existing Duplicate Search and edit some of the matching options to see how it affects your results.
- Add and remove filters: Add or remove filters in your cloned Duplicate Searches to see how your results change based on different criteria.
- Keep your Duplicate Search: Once you test out different settings and find the perfect combination, keep that setup and remove the extra test clones.
Auto Match
Set a threshold on Auto Match and Dedupely emails you when your unreviewed matches reach that number.
FAQs for Finding Duplicates
- Do I have to build a new Duplicate Search every time I want to scan my CRM? No. Once you create and save a Duplicate Search, it stays saved in your account so you can re-run that exact scan whenever you want with a single click.
- What happens if I change the matching or add a filter? Do results update automatically? Whenever you edit visible fields, match options, or filters in a Duplicate Search, you must click "Scan" again to update the results.
- Can I scan spreadsheets the exact same way I scan CRM records? Yes. The matching algorithm and match options work identically. The only difference is that for a CSV, you scan the entire uploaded file instead of selecting a CRM object.
- What is the difference between "Similar" and "Fuzzy" matching? Similar matching catches minor typos, flipped words, or slight variations. Fuzzy matching uses a broader algorithm designed to detect phonetic similarities and heavier spelling variations.
