TL;DR

  • Free plans of many CRMs block exact duplicates at entry without finding existing ones.
  • On a free plan, your own routine does the work that paid duplicate tools would do.
  • Filling the key field on every record and import prevents most new duplicates.
  • Exports, sorted lists and a weekly merge session cover existing duplicates on a small database.
  • Dedupely works with every plan of the CRMs it connects to, including free ones.

Plenty of small businesses run their whole sales process on a CRM's free plan. It holds contacts, companies and deals, and it costs nothing, which is the point.

Duplicates still show up. Free plans often stop some of them at the door. Finding the ones already inside and merging them in bulk tend to be paid features.

In this post, you'll see what a free plan typically does with duplicates, using HubSpot's Free tier as an example. You'll also see how to prevent new duplicates, find existing ones and merge them safely, without spending anything.

What a free plan usually does with duplicates

Free plans tend to protect the entry points and leave the rest to you. HubSpot's Free tier is a good example, because its rules are documented in detail.

What HubSpot does On the Free tier
Check new contacts by email and new companies by domain Yes, for records created by hand, through forms or by import
Check companies created through the API No, those aren't deduplicated by domain
Find duplicates already in the database No, the duplicates tool needs a Professional or Enterprise plan
Merge two records of the same object Yes, two at a time
Merge or reject many duplicates at once No, that needs Data Hub Professional or Enterprise
Undo a merge No, on any plan

As of October 2026, from HubSpot's knowledge base: Deduplication of records, Manage duplicate records and Merge records.

Other CRMs draw the lines differently, but the pattern is common: the free plan catches exact matches at entry, and the cleanup is yours. For the full HubSpot comparison, see HubSpot deduplication on free vs. paid plans.

Prevent new duplicates at the entry points

On a free plan, prevention is where your effort goes furthest. The check at entry only works when the field it compares is there.

  • Fill the key field every time: email for people, website domain for companies. A record without it can't be checked.
  • Import on that field: in HubSpot, an import without an identifier creates a new record for every row.
  • Watch integrations: records created through an API or a connected app may skip the check, as HubSpot companies do.
  • Agree on one way to enter records: a short note on naming and formats keeps a small team consistent.

Which fields HubSpot compares at each entry point is covered in which properties HubSpot uses to deduplicate records.

Clean lists before they reach the CRM

Imports are where a free plan takes the most duplicates in one go. A list of a few hundred contacts can include repeats inside the file and people you already have.

Clean the file first, while it's still a spreadsheet. Remove repeated rows, fix email capitalization and spaces, and make sure every row has the key field. Our post on tools to clean a CSV before a CRM import lists the options.

Find the duplicates already inside

Without a duplicate finder, you need your own way to spot existing duplicates. On a small database, a few simple checks go a long way.

  • Sort a list view by name: two "Maria Lopez" records next to each other are worth a look.
  • Sort companies by name: "Acme," "Acme Inc." and "ACME" end up side by side.
  • Export and compare: in a spreadsheet, sort by phone or by company and look for repeats.
  • Ask the team: the people who use the CRM daily usually know which customers appear twice.

What counts as a duplicate is case by case. Two contacts sharing an email can be a couple using one inbox, so check before you merge.

Merge by hand, safely

On a free plan, each merge is a separate decision. That's manageable for a few dozen duplicates, as long as each merge goes the way you expect.

  • Export first: merges can't be undone, so save the records you plan to merge, with their record IDs.
  • Pick the primary on purpose: in HubSpot, the primary record's values win, and the other record only fills empty properties.
  • Check the owner and stage afterward: those are the fields people notice first.
  • Mind integrations: in HubSpot, the merged record gets a new record ID by default, so tools that store IDs may lose track of it.

Start with the obvious duplicates, like the same email or the same domain. Leave unclear pairs for later, when you can check them with the people who know the customer.

Know when a free plan stops being enough

A free plan works well while the database is small and the sources are few. The routine above gets harder when new duplicates arrive faster than you merge them.

Watch for a merge session that grows every week, duplicates without an exact email or domain match, or merges that keep the wrong owner. Those are signs the manual approach has hit its limit. Our post on CRM deduplication for small businesses covers the habits that help as you grow.

How Dedupely works with your CRM's free plan

Dedupely works with every plan of every CRM it connects to, including HubSpot's Free tier and every Salesforce edition, even free ones. It finds duplicates native deduplication misses and previews each merge, as our page for small businesses shows. Its free tools, like the CSV dedupe tool, clean a list before import and work without an account.

Find the duplicates on your free plan

A clean CRM on a zero budget

A free plan gives you a check at the door and a way to merge by hand. The rest comes from habits: a filled key field, clean imports and a weekly session to find and merge what got through.

For a small database, that routine can keep the CRM in good shape for a long time. When it starts to take more time than it saves, that's the moment to look at what else is available.

Frequently asked questions

Does HubSpot's Free tier remove duplicates?

It blocks some new ones. HubSpot checks new contacts by email and new companies by domain when they're created by hand, through forms or by import. It doesn't scan the existing database or suggest merges on the Free tier, so existing duplicates have to be found and merged by hand.

How do I find duplicates without a paid plan?

Sort list views by name and by company, and look for neighbors that match. Export records to a spreadsheet and sort by email, phone or domain to spot repeats. Ask the people who use the CRM daily, since they often know which customers appear twice.

Can I merge duplicates on a free plan?

Often yes, one at a time: HubSpot's Free tier merges two records of the same object, like contacts, companies or deals. Merging many at once needs a higher HubSpot plan. Export the records with their IDs first, because HubSpot merges can't be undone.

How do I stop imports from creating duplicates?

Clean the file before importing it: remove repeated rows and make sure every row has the key field, like email or website domain. Then import using that field, so existing records update. In HubSpot, rows without an identifier become new records.

When should I move beyond a free plan for deduplication?

When the manual routine stops keeping up. Signs include a weekly merge session that keeps growing, duplicates without an exact email or domain match, and merges that keep the wrong owner. At that point, compare a paid plan with a deduplication tool.

Gaby Salinas came to CRM data from marketing and advertising, so she looks at duplicates from two sides: the match and merge logic behind them, and what they do to the people using the CRM, like the rep who calls a customer twice, the admin who gets blamed and the cleanup nobody wants to start.

As Marketing Assistant at Dedupely, she follows how RevOps teams, end users, consultants and technical teams actually work with their data: the records they stop trusting, the workarounds they build and the moment they finally decide to clean up. What she finds shapes most of what Dedupely publishes.
