### What we hear from teams before they automate

62%
of teams we spoke with had a trust concern about merging: data loss, control, false matches or automation.
18%
of teams we spoke with worried about false matches merging records that aren't really duplicates.
7%
of teams we spoke with hesitated to let merges run automatically.

### Why some new duplicates need a second look

Some duplicates are obvious. Others aren't: a nickname, a shared office phone, two branches with one website. Merging those automatically risks combining two different customers, but checking every search by hand doesn't scale.
- **Close calls:** "Bob Smith" and "Robert Smith" at the same company may be one person or two.
- **Shared values:** colleagues, families and offices share phones, addresses and inboxes.
- **High stakes:** records tied to billing, contracts or an ERP can't afford a wrong merge.
- **Nobody checks:** without an alert, new duplicates keep coming in until the next cleanup.

### How Dedupely compares for reviewing new duplicates

| Criterion | Native CRM tools | Other dedupe tools | Custom scripts | Dedupely |
| --- | --- | --- | --- | --- |
| Finding new duplicates | Some update duplicate suggestions as records are created, on higher plans. | Some scan on a schedule. | Possible, with a scheduled job. | Auto Match checks a Duplicate Search for new matches on the schedule you choose. |
| Getting notified | Few email you when new duplicates build up. | Some send reports or alerts. | Only if you build alerts. | An email to everyone in your account when a search reaches the number of matches you set. |
| Reviewing before merging | Most show suggestions to review one pair or set at a time. | Most let you preview merges, and some offer a review queue. | Only if you build one. | Merge, reject or send matches to Manual Review for a teammate. Nothing merges on its own. |
| Moving to automation | Most leave new duplicates for someone to merge by hand. | Some merge on a schedule. | Possible, with a scheduled job someone maintains. | Switch a search to Auto Merge once you stop rejecting its matches. |

### How to review new duplicates before they merge in four steps

-
Step 1 Turn on

#### How do you get notified when new duplicates appear?

In your Duplicate Search, click Automate and choose Auto Match. Under Notify when, enter the number of matches that should trigger an email, choose how often it checks, save, and click Enable.
- [Auto Match](https://dedupe.ly/knowledge-base/auto-match) runs on one search at a time. Turn it on in each search that needs a person to review it.
- Everyone in your Dedupely account gets the email, through New Duplicate Alerts.
-
Auto Match is included in every plan and the 7-day free trial. See how it works on the [Auto Match page](https://dedupe.ly/product/auto-match).
-
Step 2 Set a threshold

#### How many matches should trigger an Auto Match email?

Match the number to how fast duplicates arrive and how much each one matters: a low number for high-stakes records, like billing accounts, and a higher one for searches that fill up quickly.
- The number counts matches, which are groups of duplicate records, not individual records.
-
Getting emailed too often? Raise the number, or tighten the search with another field or a [filter](https://dedupe.ly/knowledge-base/filters).
-
Step 3 Review

#### What do you do when Auto Match emails you?

Open the search from the email and handle each match: merge it if it's a duplicate, reject it if it isn't, or send it to Manual Review for someone else to decide.
- Check the Merge Preview in View Match Details before you merge.
-
Send matches that belong to another team to [Manual Review](https://dedupe.ly/knowledge-base/manual-review), and agree on a weekly time to clear the queue.
-
[Rejected matches](https://dedupe.ly/knowledge-base/rejected-matches) stay out of every future search for that object.
-
Step 4 Automate

#### When is a search ready to merge on its own?

When you've stopped rejecting its matches. Move that search to Auto Merge, and keep Auto Match on the searches that still need a person.
- Keep risky records, like branches that share a website, in their own search on Auto Match, and filter them out of the search on Auto Merge.
-

### Frequently asked questions

#### What's the difference between Auto Match and Auto Merge?

Auto Match only notifies you: it emails you when a search reaches the number of matches you set, and a person decides what to merge. Auto Merge merges matches automatically, on a schedule. Most teams start a search on Auto Match and move it to Auto Merge once its matches are reliable.

#### Does Auto Match merge anything?

No. Auto Match finds matches and emails you. Nothing is merged until someone merges the matches by hand, or until you turn on Auto Merge for that search. Matches in Manual Review and rejected matches are never merged automatically either.

#### Who gets the Auto Match email?

Everyone in your Dedupely account, Admins and Users, through New Duplicate Alerts, which are on by default. If several teams share Dedupely, name each search after the team that owns it, like "Companies · Domain · Sales Ops", so everyone knows whose email it is to act on.

#### Is Auto Match included in the free trial?

Yes. Auto Match is included in every Dedupely plan and in the 7-day free trial, along with 20 free merges. Try Auto Match on your searches first, and move a search to Auto Merge once you've stopped rejecting its matches.

#### Can I use Auto Match on several Duplicate Searches?

Yes. You set it up in each search, with its own number of matches. For example, notify at 10 matches on a companies search tied to billing, and at 50 on a contacts search that fills up quickly from forms.
