Scan Settings Overview / When Dedupely Doesn’t Find Enough Duplicates (v3)

By default, Dedupely will not work too aggressively to find duplicates. We want to give you the keys to tweak the settings based on your data.

This can be done using the Settings dialog.

For each text field, you can choose between:

  •  Exact match – case insensitive
  •  Exact match – case sensitive
  •  Partial match
  •  Aggressive match (a little weaker than partial match)

You can also choose if you want all fields to match or any.


There are a few reasons that Dedupely may not find enough duplicates in your account.

Here are some obvious places to start (if you haven’t tried these already):

1. Mixing duplicates across different user ownership and view permissions

By default, mixing duplicates with different user ownership and view permissions is not allowed. If you don’t care about this, it can be turned off by going to Settings > Advanced (beside Save) > Match Prevention Rules, and removing the “user” and “view” items under “Never group duplicates that don’t have matching: … “

2. Experiment with Exact, Partial and Aggressive matches for specific fields

Under Settings > What to Deduplicate tweak the settings for each field you’re scanning with:

  • Exact match is the strictest and only works where values are identical.
  • Partial match ignores periods and tries to detect spelling mistakes (e.g. Sean and Shawn or Stripe Inc. and Stripe inc)
  • Aggressive match, matches names like J Smith with John S or for company names, Stripe and Stripe Technologies Inc.

3. Try matching by fewer fields, and switching between [any/all]

Sometimes matching by fewer fields in the key. If you are trying to match many fields at once, you’ll have a lower chance of finding the max number of duplicates. Why, because you’re narrowing down the possibilities. Start off with very few fields (e.g. First, Last name, email, etc.) and then slowly try more.

Those are the obvious ones. There are a few more possible reasons why Dedupely might not pick up all duplicates:

4. Your Dedupely cache might be out of sync with your CRM account.

Sometimes Dedupely goes out of sync if the account hasn’t been used for a long time or if there was a connection error when first downloading your data (it sometimes happens in either Dedupely or the CRM under heavy loads). You can start from scratch as shown in this article.

5. Our algorithm can’t handle the complex nature of your duplicates

Many companies have very unique data and duplicates that are very far apart. Sometimes Dedupely just can’t handle the duplicate matches correctly. If you’ve tried everything and you still don’t have any results, please contact support below for more info.
