## Several CRMs in One Dedupely Account

Dedupe several CRMs, or several accounts of the same CRM, from one place.
You can connect as many CRMs as you need to one Dedupely account: different CRMs (like HubSpot and Salesforce), or several accounts of the same CRM (like three HubSpot portals). Each connected CRM is independent. It has its own Duplicate Searches, Merge Rules and Safety Settings, and Dedupely only matches records within that CRM. What they share is your plan's record limit, billing and your Duplicate Report. Your team, Security Policy and Audit Log are set up in each CRM.

### When do teams connect several CRMs?

- **Several regions or brands**, each with its own portal or org.
- **Marketing and sales on different CRMs**, like HubSpot for marketing and Salesforce for sales.
-
**A Salesforce Sandbox and production**, to test your searches and Merge Rules before merging real data. See the [Salesforce Deduplication Guide](https://dedupe.ly/knowledge-base/salesforce-deduplication-guide).
-
**A migration or an acquisition**, one CRM after the other. See [How to Dedupe Before and After a CRM Migration](https://dedupe.ly/knowledge-base/how-to-dedupe-before-and-after-a-crm-migration).

### What's separate and what's shared?

| Separate for each CRM | Shared across your Dedupely account |
| --- | --- |
| Synced objects and records | Your plan's record limit: records from every connected CRM add up |
| Duplicate Searches and matches | Billing |
| Merge Rules | Your Duplicate Report, which covers all your connected CRMs |
| Safety Settings and Merge choices | Unlimited users, with no per-user fees |
| Auto Match and Auto Merge | |
| Merge History | |
| Users and roles: add each person to every CRM they work in | |
| Security Policy and Audit Log | |
Because each CRM is independent, Dedupely never matches a record in one CRM with a record in another, and a merge only changes the CRM it happened in. The one exception is a HubSpot portal and a Salesforce org synced to each other and linked in Dedupely: their synced duplicates are merged in both CRMs at once. See [Merging duplicates with an active HubSpot-Salesforce Integration](https://dedupe.ly/knowledge-base/merging-with-hubspot-salesforce-integration).

### How to add another CRM

- Click the **CRM** icon in the left menu.
- Click **+ Add New CRM or CSV** at the bottom of the list.
-
Choose your CRM and connect it. See [Connect your CRM](https://dedupe.ly/knowledge-base/connect-your-crm).
- Turn on the objects you want to dedupe. The first sync usually takes 2–15 minutes for up to 50,000 records, and up to 10–12 hours for 1M+ records.

### How to keep your record count under control

Records from every connected CRM count toward the same limit. To stay within your plan:
-
**Turn on only the objects you're deduping** in each CRM's **CRM Settings**. Turning an object off lowers your synced record count.
- **Dedupe one CRM at a time** if you're close to your limit.
- **Remember Sandboxes count too.** Turn off a Sandbox's objects once you've finished testing.
- **Use spreadsheets for one-off lists.** Spreadsheet uploads don't count toward your record limit.
Up to 10% over your limit, you have 10 days to upgrade or turn objects off. After that, every CRM in your account becomes read-only until you do. See [Billing & Usage](https://dedupe.ly/knowledge-base/billing-usage).

### How to set up each CRM

Because each CRM has its own settings, set each one up on its own:
- **Duplicate Searches:** start with the presets, then add your own for that CRM's data.
- **Merge Rules:** each CRM merges differently, so set your Primary Record and field-level rules for each one. See your CRM's guide.
- **Safety Settings:** check the defaults for each object. In HubSpot, also set your Merge choices.
- **Automation:** turn on Auto Match or Auto Merge per search, once you've tested it.

### Example setup

A company with a HubSpot portal for Europe, a HubSpot portal for the US, and Salesforce for sales.
- **Connect all three** to one Dedupely account. They show up as separate CRMs in the left menu.
- **HubSpot EU and HubSpot US:** Contacts and Companies on, each with its own searches and Merge Rules, and Auto Merge on the "exact email" search.
- **Salesforce:** Accounts and Contacts on, with Merge Rules set for Salesforce's master record behavior. Tested first in a Sandbox, whose objects were then turned off.
- **Plan:** 40,000 + 25,000 + 60,000 = 125,000 synced records count toward the plan.
- **Team:** each regional team is added to its own HubSpot portal, and the sales team to Salesforce.

### Common mistakes

- **Expecting Dedupely to find duplicates between two CRMs.** It matches records within one CRM. If the same customer is in two CRMs, dedupe each one separately.
- **Setting Merge Rules once and assuming they apply everywhere.** They're set per CRM.
- **Leaving a Sandbox's objects on.** Its records keep counting toward your plan.
- **Turning on every object in every CRM.** Your record count adds up fast. Start with what you're deduping now.

### FAQs about several CRMs

-
**How many CRMs can I connect?** As many as you need, including several accounts of the same CRM.
-
**Can Dedupely match records across two connected CRMs?** No. Each CRM is independent, and Dedupely matches records within one CRM.
-
**Are Merge Rules shared between CRMs?** No. Merge Rules, Safety Settings, Duplicate Searches and Merge History are separate for each CRM.
-
**Do all my CRMs count toward one record limit?** Yes. Records from every connected CRM add up. Spreadsheets don't count.
-
**Can my team work across all my CRMs?** Yes, once you add each person to every CRM they need. Each CRM has its own settings, including who works in it.

Marketing Assistant at Dedupely
Gaby Salinas came to CRM data from marketing and advertising, so she looks at duplicates from two sides: the match and merge logic behind them, and what they do to the people using the CRM, like the rep who calls a customer twice, the admin who gets blamed and the cleanup nobody wants to start.
As Marketing Assistant at Dedupely, she follows how RevOps teams, end users, consultants and technical teams actually work with their data: the records they stop trusting, the workarounds they build and the moment they finally decide to clean up. What she finds shapes most of what Dedupely publishes.
