## HubSpot Deduplication Guide

Dedupely connects directly to your HubSpot database to match and merge all your duplicates, simple or complex.

### Supported Objects

Dedupely supports deduplication for the following HubSpot objects:
- Contacts
- Companies
- Deals
- Tickets
- Leads
- Custom Objects
Cross-object deduplication is not supported. You cannot merge records across different object types (e.g., you cannot merge a Contact into a Lead).

### Permissions Required

To connect HubSpot and merge duplicates, you must be a Super Admin, or your user role must specifically have "Merge records" and "Edit" permissions for the objects you intend to deduplicate.

### Common HubSpot Duplicate Issues

Because HubSpot heavily drives marketing and top-of-funnel activities, duplicates usually arrive in massive, instant waves rather than one by one. HubSpot admins frequently face the following issues:
- **Messy Spreadsheet Imports:** HubSpot relies strictly on exact email and website domain matches during imports. If an event list omits website domains, HubSpot instantly creates brand-new duplicate companies for every record on the list.
- **Conflicting Data Sources:** Disconnected data sources frequently spawn duplicates. For example, a sales representative might manually create a record with a .eu email address, while an automated marketing web form later submits the same person with a .com email address.
- **Cross-Departmental Friction:** Marketing teams are often responsible for cleaning up a mix of their own inbound data and manual entries created by the sales team, requiring a delicate balance to avoid deleting valuable sales notes.
- **Expensive Paywalls and Manual Cleanup:** Native bulk duplicate management is locked behind expensive Operations Hub tiers. Without upgrading, administrators are forced to spend hours manually clicking "merge" on every single pair HubSpot matches.

### HubSpot Native Merge Functionality

Dedupely merges using HubSpot's native API. While you can use Dedupely's Merge Rules to control which specific field values (like job titles or custom properties) or record win during a merge, you cannot override HubSpot's core structural merge behaviors. Every merge performed will automatically adhere to the following native HubSpot rules:
- **New Record IDs:** Unlike most other CRMs, merging two duplicates in HubSpot generates a brand-new internal Record ID for the final, merged record. HubSpot does not retain the ID of the primary or secondary record.
- **API Redirects:** If your external integrations or reporting tools use stored contact IDs, HubSpot will natively redirect searches using the old original IDs to the new merged record.
- **Workflow Unenrollment:** By default, HubSpot unenrolls both original records from active workflows during a merge.

### Recommended HubSpot Deduplication Process

To manage high-volume data imports and maintain a clean HubSpot portal across marketing and sales, follow this phased approach:
- **Clean data before and after imports:** Dedupe your spreadsheets and CSVs before importing them into HubSpot. After the import is complete, immediately run a targeted Duplicate Search to match and merge the records that bypass HubSpot's strict domain or email requirements.
- **Audit and dedupe your legacy data:** Databases often hold thousands of legacy duplicates from past events, old integrations, and previous teams. Run Duplicate Searches (using parameters like First Name plus Last Name plus Phone Number) to identify records imported without email addresses, and bulk merge this first.
- **Control incoming duplicates:** Identify the specific web forms, landing pages, and third-party integrations that frequently create duplicates. Build dedicated Duplicate Searches in Dedupely tailored to the specific data those tools provide, so you can isolate and manage the incoming mess they create.
- **Establish cross-departmental confidence:** Because marketing often cleans up data created by other teams, use Dedupely's Auto Match feature before fully automating. Auto Match allows you to set a match threshold number for a specific search: when the number of duplicates reaches that threshold, you are notified to review them. From there, you can choose to reject the match, merge it, or send it to Manual Review so a member of another team can weigh in before merging.
- **Automate the top of the funnel:** Once your legacy imports are clean and your match criteria is proven, enable Auto Merge. Schedule it to run on a loop to match and merge duplicates from live web forms and API connections, ensuring teams only see clean, consolidated records by the time a lead is routed to them.

- Do I need a paid HubSpot plan (like Operations Hub) to use Dedupely? No. Dedupely works with all HubSpot tiers, including the free version. You can automate and bulk merge your duplicates without needing to upgrade your HubSpot subscription.
- How do I deduplicate Deals? Dedupely fully supports Deal deduplication. You can build custom Duplicate Searches to find and bulk merge duplicate Deals just as you would with Contacts.
- How do I handle contacts who use multiple email addresses? While HubSpot relies on the primary email address, causing integrations to create duplicates if a customer uses a secondary email, in Dedupely you are not restricted to email matching. You can build Duplicate Searches using a custom field, or match on a combination of multiple fields.
- Can I completely automate deduplication to achieve "zero duplicates"? While you can automate the majority of your cleanup, human unpredictability creates edge cases. We recommend a tiered approach: use Auto Merge to handle your high-confidence, exact-match duplicates, and use Auto Match to flag the remaining complex edge cases for manual review.
- Why did HubSpot create duplicates when I imported a list of existing companies? HubSpot requires the "Company Domain Name" field to match existing companies during an import. If that column is missing or formatted differently on your spreadsheet, HubSpot will create new records. Dedupely allows you to use the "Domain Root" match option to match website URLs by their root (ignoring www, .com, etc.). You can also use the "Ignored terms" feature in your Match Settings to automatically skip common legal suffixes like "Inc." or "LLC" when comparing Company names.
