These are the basics on how to get started de-duplicating your contacts with Dedupely v3.

1. Connect Your CRM Account

The first time you login to Dedupely, you’ll be asked to connect your CRM account.

After you connect your account, your data will be loaded into Dedupely’s system.

Loading in your data can take up to a few hours depending on how much CRM data you have.

2. Adjust Your Scan Settings

In the left navigation menu, you’ll see the Settings:

Clicking that will open the following dialog:

Please keep Automatic Merging off for the time being. We strongly suggest you do some manual merges before running Automatic Merging the make sure your duplicate settings are correct and are not too aggressive.

Under What to De-duplicate, select the data entities (such as Contact, Company, etc.) you want to de-duplicate and which fields you want to use to scan for duplicates.

Tip: We suggest you start with a small number of fields and test different combinations if you see too few duplicates detected at first.

If you have lots of duplicates with similar names (or names with spelling mistakes) click the Show Advanced button above the fields, and select partial match for those fields:

Once you’re done, click Save. A scan will take place to reflect your new settings. This article covers the scan settings in more detail.

3. Review Your Duplicates

Your duplicates will show under the Find Duplicates section.

To adjust the fields you see in the grid, click the eye icon to the top left and select the fields you want to see in the grid:

To view all of the information for a specific contact, click on the More Actions icon to the right, and in the menu click View:

4. Merging Duplicates

To the top right of each duplicate group, you’ll see these 3 buttons:

If the duplicate group looks incorrect, clicking Ignore will add it to the Ignored Matches section(which you can find in the left navigation menu). The system will then try to ignore similar future matches.

If a duplicate group looks right, you can go ahead and click Merge

The merge will be queued into the system and progress on it can later be found in either Merge Queue (for merges in progress) or Finished Merging.

Note: Often times you’ll see the status “Queued. Waiting for other merges to finish.” This is because merges can only run one at a time for each group in the queue and this will only happen when you’re trying to merge more than one.
