## CRM Duplicate Tools Compared

What each CRM does about duplicates on its own, side by side, and where Dedupely fits in.
Every CRM Dedupely supports has some built-in duplicate tools: checks when a record is created, suggested duplicates, and a merge screen. They differ a lot in what they catch, how many records they merge at once, and which plan you need. This chart puts HubSpot, Salesforce, Pipedrive, Close CRM, Nimble CRM and Google Contacts side by side with Dedupely, so you can see what your CRM already covers and what's left to do. Dedupely works alongside your CRM's tools, and with every plan of every supported CRM.

### The chart

**Last checked: October 2026.** CRMs update their duplicate tools often, so we check this chart every quarter.
| | **HubSpot** | **Salesforce** | **Pipedrive** | **Close CRM** | **Nimble CRM** | **Google Contacts** | **Dedupely** |
| --- | --- | --- | --- | --- | --- | --- | --- |
| **Checks new records** | Contacts with the same email; companies with the same domain. Companies created through the API aren't checked. | Duplicate Rules alert or block when a record is created or edited; matching imports and API calls are blocked, unless the integration is set to save duplicates anyway | Flags people with the same name plus a shared phone, email or organization; imports can merge duplicates on a few set fields | No duplicate check in the app | Imports merge on email, or on name when no email matches | No | Doesn't block records. Merges new duplicates soon after they arrive, with Auto Merge |
| **Finds existing duplicates** | Suggested pairs for contacts and companies, on Professional or Enterprise | Duplicate Jobs scan the whole org, on Performance and Unlimited editions | A list of suggested people and organizations | No; Close support can share a list of leads with the same name, phone or email | One contact at a time | Suggests duplicates | Duplicate Searches on any object, preset searches, and Dedupely Intelligence |
| **Fields it matches on** | Set by HubSpot; custom rules with Data Hub Professional or Enterprise | Matching rules you configure | Set by Pipedrive | Exact name, phone or email | Email or name | Set by Google | Any synced field, with a match option for each: Exact, Similar, Fuzzy, Similar Words (Any Order) or Domain Root |
| **Records per merge** | 2 | Up to 3 | 2 | 2 leads | Up to 5 | No limit stated | Matches of any size; matches over 20 records are set aside for review by default (you can change it) |
| **Bulk merge** | Data Hub Professional or Enterprise only | No; one merge at a time | No | One-time merge by Close support | Not documented | Yes: accept every suggestion at once | Yes: thousands of matches in one action |
| **Which values survive** | You pick the primary record | You pick the master record and the value for each field | Primary record wins; extra emails and phones are kept | The destination lead's values win | You pick the primary contact and the values to keep | Google combines the contacts | Primary Record rule (oldest, newest, last updated, most data or custom) plus a rule for each field |
| **Objects** | Contacts, companies, deals, tickets and more | Accounts, contacts, leads and more | People, organizations and deals | Leads; contacts have no merge in Close's API | Contacts (people and companies, merged separately) | Contacts | HubSpot: contacts, companies, deals, leads, tickets, custom objects · Salesforce: accounts, contacts, leads, opportunities, individuals, custom objects · Pipedrive: people, organizations, deals, leads, products · Close: leads, contacts, opportunities · Nimble: people and companies · Google Contacts: contacts |
| **Automation** | Checks at entry; merging is manual | Checks at entry; merging is manual | Merging is manual | Merging is manual | Merging is manual | Merging is manual | Auto Match (notifies you) and Auto Merge (merges on a schedule) |
| **After the merge** | Permanent; the merged record gets a new ID | The other records go to the Recycle Bin for 15 days | Permanent | Permanent | Not stated | A merged contact can be separated again | Follows your CRM's own merge; every merge recorded in Merge History with the original values; most merges can be undone for 30 days |
| **Spreadsheets** | Only once imported | Only once imported | Only once imported | Only once imported | Only once imported | Only once imported | Unlimited CSV uploads, merged before import; don't count toward your plan |
| **Plan needed** | Duplicate tools on Professional or Enterprise; bulk merge on Data Hub | Duplicate Jobs on Performance and Unlimited | All plans (Admin or merge permission) | All plans | All plans | Free | Works with every plan of every supported CRM; Auto Merge in every Dedupely plan and the free trial |

### How to read the chart

- **"Checks new records"** stops some duplicates before they exist. Keep these checks on, whatever else you use.
-
**"Finds existing duplicates"** and **"Bulk merge"** decide how long a backlog takes. Merging 2–3 records at a time works for a few dozen duplicates, not thousands.
- **"Fields it matches on"** decides what you miss. A check on email alone doesn't catch the same person with a work and a personal email.
- **"After the merge"** matters for your other tools and reports, for example when a CRM gives the merged record a new ID.

### When are your CRM's own tools enough?

They're often enough when:
- You have a few dozen duplicates, mostly contacts and companies.
- Your duplicates share an exact email or domain.
- Records come in one way, like a single form, with no imports or syncs.
You'll need more when:
- Your backlog is in the hundreds or thousands.
- Duplicates differ by typos, nicknames, a second email or a phone format.
- Duplicates are in deals, leads, tickets or custom objects.
- Records arrive from imports, integrations or call tools.

### How Dedupely works with your CRM's tools

- **Keep your CRM's checks on.** They stop the easy duplicates at entry.
- **Use Dedupely for the backlog.** Duplicate Searches find what the CRM's checks missed, and Bulk Merge merges them with your Merge Rules.
- **Automate the rest.** Auto Match and Auto Merge handle the duplicates that keep getting past your CRM's checks.
Merges in Dedupely go through your CRM's own API, so they follow your CRM's merge behavior, like HubSpot's new record ID.

### Example

A sales team on HubSpot Starter has 12,000 contacts and 4,000 companies, with duplicates from forms, event imports and a dialer.
- **What HubSpot covers:** it blocks contacts with the same email and checks company domains. Its duplicate management tool needs Professional or Enterprise, so they can't use it on Starter.
- **What's left:** the same people with a second email, companies imported without a domain, and dialer records with only a phone number.
- **Their setup:** they keep HubSpot's checks on, connect Dedupely, merge the backlog with three Duplicate Searches (contacts by name and email, companies by domain and name, contacts by phone), and turn on Auto Merge on the contacts search for web forms.

### Common mistakes

- **Assuming your CRM catches everything.** Most checks compare one field for an exact value.
- **Turning off your CRM's checks once you use Dedupely.** They still stop the easy duplicates at entry.
- **Not checking what a merge does in your CRM.** A new record ID or a Recycle Bin affects your reports and other tools. Read your CRM's guide first.
- **Comparing tools on price alone.** Compare how many records each merges at once, and which objects and fields it covers.

### FAQs about CRM duplicate tools

-
**Does HubSpot find duplicates on the free plan?** HubSpot blocks contacts with the same email and checks company domains on every plan, but its duplicate management tool needs Professional or Enterprise. Dedupely works with every HubSpot plan, including Free.
-
**Why does Salesforce only merge 3 records at a time?** That's Salesforce's limit for a manual merge. Dedupely merges matches of any size through Salesforce's API.
-
**Can Pipedrive merge duplicates in bulk?** No. Pipedrive merges two records at a time. Dedupely can bulk merge thousands of matches at once.
-
**Does Close CRM have a duplicate finder?** Not in the app. Dedupely finds and merges duplicate Leads, Contacts and Opportunities in Close CRM.
-
**Should I turn off my CRM's duplicate checks if I use Dedupely?** No. Keep them on, and use Dedupely for what they miss.

### Gaby Salinas

Marketing Assistant at Dedupely
Gaby Salinas came to CRM data from marketing and advertising, so she looks at duplicates from two sides: the match and merge logic behind them, and what they do to the people using the CRM, like the rep who calls a customer twice, the admin who gets blamed and the cleanup nobody wants to start.
As Marketing Assistant at Dedupely, she follows how RevOps teams, end users, consultants and technical teams actually work with their data: the records they stop trusting, the workarounds they build and the moment they finally decide to clean up. What she finds shapes most of what Dedupely publishes.
