## Why your CRM misses so many duplicates

TL;DR
- CRMs miss duplicates because native tools compare a few set fields, often value for value.
- Typos, nicknames, phone formats and company suffixes make one record look like two.
- Records with no email or domain often skip native detection entirely.
- Testing native tools on duplicates you already know shows what they miss.
- Dedupely finds duplicates on any field, custom fields included, and merges whole matches.
Your CRM misses duplicates because its own tools look for them in a narrow way. They compare a few set fields, often value for value, and they need those fields to be filled.
Real duplicates rarely line up that neatly. One record says "Bob", the other "Robert". One has a work email, the other a personal one. One company ends in "Inc." and the other doesn't. To a person they're the same, and to a check on one exact field they're two records.
In this post, you'll see what native detection looks for in a few CRMs and which duplicates slip past it. You'll also see how to find out what yours is missing. Whether native tools are enough for your team is a separate question, covered in [when your CRM's own deduplication tools are enough](https://dedupe.ly/blog/when-native-crm-deduplication-is-enough).

### What native duplicate detection looks for

Every CRM draws its own lines. Here's what the CRMs Dedupely works with say on their help pages, as of October 2026.

#### HubSpot

HubSpot deduplicates contacts by email address and companies by company domain name automatically, according to its [deduplication help page](https://knowledge.hubspot.com/records/deduplication-of-records). Imports can also match records by Record ID, and each object can have up to ten custom properties that require unique values.
For existing duplicates, its [duplicate management tool](https://knowledge.hubspot.com/records/manage-duplicate-records) covers contacts and companies on Professional and Enterprise subscriptions. It compares a default set of properties daily, such as name, email, phone and company name for contacts. Custom duplicate rules need Data Hub Professional or Enterprise.

#### Salesforce

Salesforce's [standard account matching rule](https://help.salesforce.com/s/articleView?language=en_US&id=sales.matching_rules_standard_account_rule.htm&type=5) compares account name, billing street, city, ZIP, phone and website. Name, street and city can use edit distance as well as exact matching, while ZIP, phone and website are exact.
To find duplicates that already exist, [duplicate jobs](https://help.salesforce.com/s/articleView?id=duplicate_jobs_run_and_manage.htm&language=en_US&type=5) run a matching rule across accounts, contacts or leads. They're available in Performance and Unlimited Editions.

#### Pipedrive

Pipedrive's [merge duplicates feature](https://support.pipedrive.com/en/article/how-does-the-merge-duplicates-feature-identify-duplicates-in-pipedrive) suggests people with the same name plus the same phone, email or organization. It suggests organizations with the same name and the same address.

#### Close

Close's [duplicate tools](https://help.close.com/docs/finding-and-merging-duplicates) match leads by lead name, phone number or email address across the account. They match contacts by contact name, phone or email, but only within the same lead.

#### Nimble

Nimble's [Find/Merge Duplicates](https://support.nimble.com/en/articles/502827-how-to-merge-duplicate-contacts) starts from a contact you suspect has a duplicate. The help page doesn't say which fields it compares. Imports match contacts by email, or by first and last name when the email doesn't match.

#### Google Contacts

Google Contacts shows duplicate suggestions under [Merge & fix](https://support.google.com/contacts/answer/7078226), and you choose which to merge. The help page doesn't say what it compares, and contacts saved in different Google Accounts can't be merged.
| CRM | What native detection compares (as of October 2026) | Objects covered |
| --- | --- | --- |
| HubSpot | Email (contacts) and company domain name (companies) automatically; a default property set in the duplicate management tool | Contacts and companies in the duplicate management tool |
| Salesforce | The fields in each matching rule; the standard account rule uses name, address, phone and website | Accounts, contacts and leads in duplicate jobs |
| Pipedrive | Name plus phone, email or organization (people); name plus address (organizations) | People and organizations |
| Close | Name, phone or email (leads across the account; contacts within one lead) | Leads, and contacts within a lead |
| Nimble | Not stated for Find/Merge Duplicates; imports match on email, then first and last name | Contacts |
| Google Contacts | Not stated; suggestions under Merge & fix | Contacts in one Google Account |
These tools work well for the duplicates they're built for. The gaps show up in the duplicates that don't fit those patterns.

### The duplicates native tools usually miss

Most missed duplicates fall into a handful of types. Many CRMs have several of them at once.

#### Values that differ by a typo or a format

"jon.smith@" and "john.smith@" are one letter apart. "+1 (555) 010-2030" and "555 010 2030" are the same number in two formats. A check that compares values exactly reads each pair as two different records.

#### Nicknames and spelling variants

Robert and Bob, Katherine and Kathy, Sean and Shawn. Names that look different or sound alike rarely match on a character-by-character check, and a name is often the only field two records share.

#### Company suffixes and word order

"Acme Inc.", "ACME" and "Acme Incorporated" are one company to anyone reading them. A name check that compares the whole value sees three. [How company suffixes hide duplicates](https://dedupe.ly/blog/company-name-suffixes-duplicates) covers this case in detail.

#### Records with the key field missing

When detection relies on email or domain, records without one are left out. A contact from a phone app may have only a number, and a company from a list may have no website. As HubSpot's help page puts it, rows imported without a unique value like email or domain come in as new records. Our post on [finding duplicates without an email](https://dedupe.ly/blog/find-duplicates-without-email) covers what to match on instead.

#### Two emails for one person

A work address and a personal address never match each other. When email is the field that decides, the same person with two addresses stays as two contacts.

#### Fields the tool doesn't compare

Native tools compare their own set of fields. Your best signal may be somewhere else, like a customer number, a tax ID, a LinkedIn URL or another custom field. If the tool can't use it, those duplicates stay hidden.

#### Duplicates that need several fields to show

Some duplicates only appear when two or three weaker fields agree, like last name, phone and city. A check on one strong field misses them, and a loose check on one weak field pairs strangers.

#### Objects outside the tool's reach

Native detection often focuses on contacts and companies, or accounts, contacts and leads. Duplicate deals, tickets, products and custom objects need another way to be found.
Example
One team's CRM listed about 24,000 possible duplicates. When the team searched on organization name with matching that ignored capitalization, it found sets the CRM's list didn't include.
Even the duplicates a CRM does find can stay in place, since native merging works on a few records at a time. [When your CRM's own deduplication tools are enough](https://dedupe.ly/blog/when-native-crm-deduplication-is-enough) covers where merging and other native limits start to matter.

### How to find out what your CRM is missing

You don't need to guess. A short test shows where your native tools stop.
- **Collect known duplicates.** Write down ten or twenty sets you know are duplicates, of different types: a typo, a nickname, a suffix, a missing email.
- **See which ones native detection finds.** The sets it skips show you which types it can't see.
- **Look at a second field.** Sort contacts by phone or companies by name, and scan for neighbors that differ in email or domain.
- **Count the records without the key field.** Contacts with no email and companies with no domain are often outside native detection.
- **Check your other objects.** Look for repeated deal names or tickets on the same contact.
What counts as a duplicate is case by case, so decide your own rules before you count. Two offices of one company may be one record for marketing and two for sales. [Native deduplication vs. deduplication tools](https://dedupe.ly/blog/the-limits-of-native-deduplication-in-crms) compares the options once you know what's missing.
Pro tip
Fill the field your CRM matches on wherever you can, like email on forms and website on companies. Native detection gets much better when the key field is there.

### How Dedupely finds the duplicates your CRM misses

Dedupely Intelligence is AI-powered matching that finds complex duplicate patterns without any match settings, and it finds 10x more duplicates than checking by hand. You can also build duplicate searches on any field, custom fields included. For each field, you choose how it matches: exactly, allowing typos, by sound, by nickname, by shared words or by core domain. When you merge, Dedupely merges every record in a match in one action.

### Your CRM finds the duplicates it was built to find

Native detection is built for the common case: the same email, the same domain, the same name and address. It does that job, and real data doesn't always cooperate.
Typos, nicknames, suffixes, missing emails and custom fields are where duplicates hide. Testing your tools on duplicates you already know shows which of those your CRM can't see, and that tells you where to look next.

### Frequently asked questions

#### Why doesn't my CRM find all my duplicates?

Because native detection compares a set of fields, often value for value, and needs them filled. Duplicates that differ by a typo, a nickname, a phone format, a company suffix or a second email don't match on those fields. Records without an email or domain are often skipped entirely.

#### Can a CRM find duplicates with different email addresses?

Usually not on email alone, since a work and a personal address never match. Some native tools compare other fields too, like name, phone or company. To find these, match on name plus phone or name plus company, and check the results before merging.

#### Does native deduplication use fuzzy matching?

It depends on the CRM. Salesforce's standard account matching rule can compare name, street and city by edit distance, as of October 2026. Many native checks, such as email and domain lookups, compare values exactly, so small typos and format differences get through.

#### Why does my CRM miss duplicate companies?

Company names vary a lot: "Inc.", "LLC", abbreviations and word order all change the value. Detection based on domain misses companies with no website or with two domains. Matching on the core domain plus a company name that ignores suffixes catches many of them.

#### Can native tools find duplicates in custom fields?

Some can, within limits. HubSpot lets each object have up to ten custom properties that require unique values. In Salesforce, the rules behind a duplicate job decide which fields it compares. Check your CRM's help pages for which fields and objects its detection can use.
