TL;DR
- New duplicates often appear within days of a cleanup, as soon as new records arrive.
- Some teams get 20 to 30 new duplicates a day; others get a few a week.
- The pace depends on how many sources add records and how each one matches.
- Counting new duplicates every week for a month shows your own pace.
- Dedupely can alert you to new duplicates and merge tested searches automatically on a schedule.
Duplicates often start coming back within days of a cleanup, and in a busy CRM, the next day. The first new ones arrive with the next form submission, import or sync.
That doesn't mean the cleanup failed. It removed the duplicates you had. The forms, tools and people adding records kept running, so new duplicates kept forming at their usual pace.
In this post, you'll see how fast duplicates tend to return and what decides that pace. You'll also see how to measure your own rate and how to set up a routine that keeps up with it. Why duplicates come back at all is covered in [why duplicates keep coming back after a cleanup](https://dedupe.ly/blog/duplicates-keep-coming-back-after-cleanup).

### How fast duplicates return after a cleanup

There's no standard rate. Two CRMs of the same size can get new duplicates at very different speeds. The speed depends on what feeds the CRM.
What teams describe falls into a few patterns:
- **A steady daily flow.** CRMs fed by forms, booking tools or phone apps get new duplicates every day, weekends included.
- **A weekly trickle.** CRMs with fewer sources may see a handful a week, often from reps adding records by hand.
- **Bursts.** An event list, a purchased list or a new integration can add hundreds in a single afternoon.
- **A second layer.** After the exact matches are gone, near matches become visible, so the count can look like it went up.
Example
One team expects 20 to 30 new duplicates a day. Another sees anywhere from 20 to 50 new duplicates a week, sometimes fewer, sometimes more.
Most CRMs fall somewhere between these, and many have a steady flow plus the odd burst. What counts as a duplicate is case by case, too, so two teams with the same data can count different rates.

### What decides how fast duplicates come back

A few factors set the pace. Knowing which ones apply to your CRM tells you whether to expect a few duplicates a week or a few dozen a day.

#### How many sources add records

Every form, booking tool, phone app, enrichment tool and sync is a source of new records. Each one that can create a record instead of updating one adds to the flow. A CRM fed by ten sources gets more duplicates than one fed by two, even with the same number of contacts.

#### How each source checks for existing records

Many sources look for an existing record on one field and create a new one when they don't find it. A form keyed on email creates a second contact when someone uses another address.
Some routes skip the check entirely. As of October 2026, from [HubSpot's deduplication help page](https://knowledge.hubspot.com/records/deduplication-of-records), companies created through the API aren't deduplicated by company domain name. That includes installed sync apps.

#### How often you import lists

Imports arrive in batches, so they create bursts. A team that imports an event list every month sees a jump after each event. Imports that match on a field most rows leave blank create the most. Every row without that value comes in as a new record.

#### How many people create records

Each rep adds only a few duplicates a week, from inbox contacts, companies they couldn't find in search and their own lists. A team of twenty adds them every day.

#### How deep the cleanup went

A cleanup that merged only exact matches leaves near matches behind. Those show up next and make the return look faster than it is.
| Source | How its duplicates usually return | What to watch |
| --- | --- | --- |
| Web forms and booking tools | Steadily, every day | Submissions with a new email for a known person |
| Phone and call-tracking apps | Steadily, often without a name or email | The same number in a different format |
| List and event imports | In bursts, after each import | Rows with a blank email or domain |
| Integrations and syncs | Steadily, or all at once after a change | Records created by the integration user |
| Reps creating records | A few a week per person | Personal and work emails for one contact |

### How to measure your own rate

Your own rate matters more than any typical figure. It takes a few weeks of counting to find it.
- **Start right after a cleanup.** Note how many duplicates each search finds once the backlog is merged. That's your baseline, ideally close to zero.
- **Count once a week for a month.** Use the same searches each time, so the numbers compare. Four counts are usually enough to see a pattern.
- **Note where each new set came from.** Check the created date, the source field and the user or integration that created the record. Two or three sources often explain most of the new sets.
- **Look into the bursts.** When a week jumps, check what happened that week, like an import, an event or a new tool.
The result is a number you can plan around. For example: "about 15 a day, mostly from the booking tool, plus a burst after each event."
Pro tip
Measure per object. Contacts and leads often return much faster than companies, and a single number for the whole CRM hides which object needs the most attention.

### How to keep up with new duplicates

Once you know the rate, match your routine to it. A routine that's slower than the inflow turns into another cleanup project a few months later.

#### A few a week: check on a fixed day

If new duplicates arrive slowly, a weekly or monthly check is enough. Run the same searches, merge what's certain and look at anything unusual. [How often you should deduplicate your CRM](https://dedupe.ly/blog/how-often-to-deduplicate-crm) covers how to pick the cadence.

#### Dozens a day: merge automatically on a schedule

Manual merging runs at a fixed pace, and the inflow doesn't stop for weekends or holidays. At 20 a day, two weeks away from the CRM leaves 280 sets waiting.
At that rate, give each main source its own search and test it before you trust it. Once a search is tested, you can merge the new duplicates you're certain of, like exact email matches, automatically on a schedule. [Why duplicates keep coming back](https://dedupe.ly/blog/duplicates-keep-coming-back-after-cleanup) covers how to build and test one search per source.

#### Get an alert when the count jumps

Bursts are easy to miss between checks. A search can check for new duplicates on a schedule and email you when they pass a number you set. Then you hear about a burst the day it happens.

#### Fix the fastest sources upstream

The source with the highest rate is usually worth fixing too. A form that updates an existing record by email lowers the rate for good. So does an import that matches on a field every row has. The [guide to deduplication across connected tools](https://dedupe.ly/blog/deduplication-across-connected-tools) goes through each source.

### How Dedupely keeps up with returning duplicates

In Dedupely, every duplicate search shows its matches and the records in them, so you can see how fast each source adds new ones. Dedupely can check a search for new duplicates on a schedule and email you when they reach a number you set. Once a search is tested, it can also merge that search's new duplicates automatically on a schedule.

### Plan your routine around the pace

Duplicates come back as fast as your sources create them, which can mean the next day. A cleanup resets the count, but it doesn't change that pace.
Once you've measured your rate per source, the routine follows from it. A slow trickle needs a regular check, while a daily flow needs tested searches that merge automatically and alerts for the bursts in between.

### Frequently asked questions

#### How quickly do duplicates come back after a CRM cleanup?

Often within days, sometimes by the next day. New duplicates appear as soon as forms, imports, integrations and reps add records that match existing ones. Some teams see 20 to 30 a day, while others see a few a week. Your rate depends on your sources, so measure it for a few weeks.

#### Why do I have new duplicates a week after deduplicating?

Because the sources that created the old ones are still adding records. A cleanup merges the duplicates you have but doesn't change your forms, imports or syncs. Near matches the cleanup didn't cover can also show up next, which makes the count look like it grew again.

#### How many new duplicates a day is normal?

There isn't a normal number. It depends on how many sources feed the CRM, how each one checks for existing records and how often you import lists. A CRM with one form may see a few a week, while one fed by many tools can see dozens a day.

#### How often should I check for new duplicates?

Match the check to your rate. A few new duplicates a week can wait for a weekly or monthly check. Dozens a day need searches that run on a schedule. Tested ones can merge the certain matches automatically, with alerts for sudden jumps after imports.

#### Can I stop duplicates from coming back completely?

Rarely. Fixing forms, imports and integrations lowers the rate, but new records keep arriving with typos, new emails and other formats. Most teams aim for a low, steady rate and a routine that merges new duplicates before they affect reports or outreach.
