TL;DR
- Forms, enrichment apps, imports and syncs each add records to your CRM.
- Some tools, like enrichment apps, can't be deduplicated on their side, so duplicates reach the CRM.
- Clean spreadsheets before importing them, then deduplicate in the CRM after the data lands.
- In a HubSpot–Salesforce sync, merging a record on only one side breaks the link.
- Dedupely cleans spreadsheets and CRMs, and merges synced HubSpot and Salesforce records in both at once.
Records reach a CRM from many places. Reps import spreadsheets, teams migrate old systems, and enrichment tools, forms and other CRMs write data on their own schedule. Each path can bring in duplicate records, and each one gives you a different chance to catch them.
Some data you can clean before it arrives, and some only once it's in the CRM. In this post, you'll see where to clean each kind of data and how to handle migrations and two-way syncs.

### What is deduplication across connected tools?

**Deduplication across connected tools is finding and merging duplicate records that reach your CRM through imports, migrations, integrations and synced systems.** It keeps one record per person or company, whichever tool created it.

### You can't clean inside every tool

Some tools let you check data before it moves. Others don't. An enrichment tool is a common example: you can't clean or deduplicate on its side, and its data goes into the CRM anyway.
Web forms, phone apps and checkouts often work the same way. They create or update records in the CRM, and the CRM is the first place where you see the result.
So the useful question for each tool is where you can clean its data. Before it enters, after it lands in the CRM, or both.
Start by listing every tool and process that creates or updates records. Include the ones people forget, such as a one-time import a rep ran last quarter or an integration someone set up and left running.

### Where to clean each kind of data

| How data arrives | Clean before it enters? | Clean after, in the CRM? |
| --- | --- | --- |
| Spreadsheet imports | Yes. Check the file against itself and against what's already in the CRM. | Yes, to catch anything the file check missed. |
| CRM migrations and acquisitions | Yes. Clean the source system before you move it. | Yes, once migrated records sit next to the data already there. |
| Enrichment tools | No. | Yes, on a regular schedule. |
| Web forms and connected apps | Rarely. | Yes, on a regular schedule. |
| Two-way sync between CRMs | No. The sync moves records both ways. | Yes, with merges that happen in both CRMs at once. |

### Clean spreadsheets before you import them

An import is one of the few moments when all the new data sits in one file. That makes it the easiest point to catch duplicates, before they reach owners, sequences and reports.
Check the file in two directions. First, look for people or companies that appear twice inside the file. Then look for rows that match records you already have in the CRM.
After the import, check again in the CRM. A file can be clean on its own and still contain people who were already there under a different email or a misspelled name.
Pro tip
Agree on who imports and how. When anyone can upload a spreadsheet whenever they need to, the file check gets skipped. The cleanup then lands on the CRM admin.

### Clean before you migrate, then check again

A migration moves years of records in one go. If the old system has duplicates, the new CRM starts with them, along with every report and workflow built on top.
Clean the source system first, so you move one record per person or company. Then check again after the move. If the new CRM already holds records, migrated ones can land next to people you already have.
We cover the reasons in more detail in
[why every CRM migration needs deduplication first](https://dedupe.ly/blog/why-every-crm-migration-needs-deduplication-first).

#### Acquisitions and database merges

An acquisition brings two databases together, and each one made sense on its own. Once they meet in one CRM, the same customer can show up twice, with two owners and two histories.
That's where commission disputes and double calls tend to start. Two reps each see a customer they believe is theirs.
Treat an acquisition like a migration. Clean each database before the move, then decide together which record and which owner win when both sides have the same customer.

### Clean in the CRM for the tools you can't control

For enrichment tools, forms and other integrations, the CRM is where you clean. These sources run every day, so a single cleanup won't hold for long.
Look for patterns in the duplicates you find. Note which source created them, when they were created and who owns them. That shows you which tools need a regular check and which caused a one-off wave.
Some integrations create a sudden spike when a setting changes. If that setting is one you control, fix it, and clean what it created.
For the steady sources, speed matters most. Find and merge new duplicates soon after they arrive, before they spread into reports, sequences and ownership. Our post on
[recurring duplicates from CRM integrations](https://dedupe.ly/blog/manage-recurring-duplicates-from-crm-integrations)
goes further into this.

#### Duplicates travel to other tools too

A record that exists twice in the CRM can go out twice to every tool connected to it. The email platform sends two messages, and the data warehouse counts one customer as two.
That's why cleaning the CRM regularly protects more than the CRM. It also protects the tools that read from it.

### Two-way syncs between CRMs

When two CRMs sync, such as HubSpot and Salesforce, a duplicate exists on both sides. A merge has to happen in both systems. From what I've seen, merging on only one side breaks the sync entirely, so the two records are no longer linked.
That's why deduplicating across a two-way sync has been very manual for most teams I talk to. Someone merges on one side, fixes the other by hand, and some duplicates get missed along the way.
Before you merge synced records, check two things. Both CRMs need to be part of every merge. And exclude any match that could break the sync, then review it before anything merges.

### How Dedupely cleans data from spreadsheets to synced CRMs

In Dedupely, you can clean unlimited spreadsheets before import, and build duplicate searches to clean the CRM after the data lands. When the integration is active, you can
[merge duplicates in HubSpot and Salesforce at once](https://dedupe.ly/blog/merge-duplicates-with-hubspot-salesforce-sync-on). If either HubSpot or Salesforce isn't connected to Dedupely, the merge is blocked. Any match that could break the sync is excluded automatically, so it isn't merged.

### Map your tools, then clean on both sides of the CRM

Records reach your CRM through many paths, and each one gives you a different chance to catch duplicates. Spreadsheets and source systems can be cleaned before they arrive, while data from enrichment tools, forms and integrations can only be cleaned once it lands in the CRM.
Once you know which tools create records and where each one can be cleaned, every source has a place in your cleanup. Synced CRMs add one condition: a merge has to happen in both systems at once, or the link between the records breaks.

### Frequently asked questions

#### How do you deduplicate data across multiple sales and marketing tools?

Clean data before it enters the CRM wherever you can, and clean it in the CRM where you can't. Check spreadsheets before you import them and clean a source system before a migration. For enrichment tools, forms and integrations, find and merge duplicates in the CRM regularly, before they spread into reports and sequences.

#### Should you deduplicate before or after a CRM migration?

Do both: clean the source system before you migrate, so the new CRM doesn't start with old duplicates and the workflows built on them. Then check again after the move, because migrated records can match people already in the new CRM. Acquisitions need the same two checks, since two databases end up in one place.

#### Can you deduplicate data inside an enrichment tool?

Usually no: many enrichment tools don't let you clean or merge records on their side, and their data goes into the CRM anyway. That makes the CRM the place to catch those duplicates. Track which records the tool creates or updates, and check them on a regular schedule so new duplicates get merged early.

#### How do you merge duplicates when two CRMs are synced?

Merge them in both CRMs at the same time. Merging on only one side breaks the sync, so the records are no longer linked. That's why this work is often done by hand and duplicates get missed. Before merging, make sure both systems are part of the merge, and exclude any match that could break the sync.
